1. Information We Collect

CashBook by Manual2AI collects the following information to provide our cash management service:

• Account Information: Email address, business name, GST number (optional), password (hashed)
• Financial Data: Cash transactions, party ledgers, balances, receipts, and attachments you enter
• Usage Data: Pages visited, features used, device type (for improving the product)
• Team Data: Email addresses and names of team members you invite

2. How We Use Your Data

• To provide, maintain, and improve the CashBook service
• To process payments and manage your subscription
• To send transactional emails (verification, password reset, payment reminders)
• To provide AI-powered features (receipt scanning, categorization, insights) using Google Gemini
• We do NOT sell your data to third parties

3. Data Storage & Security

Your data is stored securely on Supabase (hosted on AWS ap-south-1, Mumbai). We use Row-Level Security (RLS) to ensure your data is isolated from other businesses. All connections are encrypted via TLS. Passwords are hashed using bcrypt. File attachments are stored in encrypted cloud storage with access restricted to your company only.

4. AI & Third-Party Services

When you use AI features (receipt scanning, smart categorization, insights), your transaction data or receipt images are sent to Google Gemini for processing. Google processes this data per their AI terms of service. We also use Resend for sending emails and Cashfree for payment processing.

5. Your Rights

• Access: You can view all your data in the app at any time
• Export: Download your data via CSV export in Reports
• Deletion: Request complete account and data deletion by emailing support@manual2ai.com
• Correction: Edit your business details, transactions, and party information directly in the app

6. Data Retention

We retain your data as long as your account is active. If you request deletion, we will permanently remove all your data within 30 days. Automated database backups are retained for up to 7 days and then permanently deleted.
